Privacy Policy

This Privacy Policy describes how Guildscape, LLC ("we," "us," or "our"), the maker of HospiceDefender, handles personal information in connection with the HospiceDefender marketing site and the HospiceDefender service (the "Service"). It is written for two audiences: visitors to our marketing site, and the authorized users of customer organizations that license the Service.
1. Marketing-Site Visitors
When you submit the early-access form, we collect the name, company, and work email address you provide. We use that information solely to respond to your inquiry, to send you a confirmation, and to follow up about access to the Service. We do not enroll you in automated marketing sequences, we do not sell that information, and we do not share it with third parties for their own marketing purposes. We retain inquiries for as long as is reasonably necessary to follow up and to keep a record of the request.
2. Cookies and Site Analytics
Our marketing site does not deploy advertising cookies or cross-site tracking. Like most web services, our infrastructure records standard request metadata — such as IP address, user agent, and timestamps — for security, abuse-prevention, and operational purposes, and retains it for a limited period.
3. Authenticated Customer Users
When a customer organization uses the Service, we process the account and authentication data necessary to operate the platform (such as user name, email, and role) and the clinical-documentation records the customer chooses to submit for audit. Records are processed within the customer's own tenant to provide and support the Service. We do not use customer records to train any general-purpose model, and we do not sell or share them outside the customer's tenant.
4. Protected Health Information and HIPAA
To the extent customer records contain Protected Health Information under HIPAA, we act as a Business Associate, and that information is governed by the Business Associate Agreement between us and the customer, which controls over this Policy as to that information. We do not transmit Protected Health Information through the public marketing site or through email; those channels are limited to business-contact information.
5. Service Providers
We use a limited set of vetted infrastructure and communications providers — for example, cloud hosting and a transactional-email provider — to operate the Service and to deliver messages such as your early-access confirmation. These providers process information only on our instructions and under contractual confidentiality and security obligations. We do not sell personal information.
6. Security
We maintain administrative, technical, and physical safeguards designed to protect the information we hold, including access controls, encryption in transit, and tenant isolation for customer data. No method of transmission or storage is perfectly secure, but we work to protect information consistent with its sensitivity and applicable law.
7. Your Choices
To request access to, correction of, or deletion of an early-access submission, or to ask any privacy-related question, write support@hospicedefender.com. Authorized users of customer organizations should direct data-subject and records requests to their own organization's compliance team in the first instance, as the customer controls that data.
8. United States Only
The Service and this site are intended for organizations and users located in the United States, and information is processed in the United States. The Service is not offered to, and should not be used by, individuals or entities outside the United States.
9. Changes to This Policy
We may update this Policy from time to time. Material changes will be reflected in the "Last updated" date above and, where appropriate, communicated to affected customers.
